Global Preferences In Timesheet 5.5

Timesheet allows your organization control over many of its appearance and behavioral values. The Global Preferences Modification Screen serves as the command center for making these modifications. The myriad possible preferences settings are divided into subscreens and are grouped according to which aspects of Timesheet they affect. The preferences subscreens are available via the links on the left side of the master Global Preferences Screen. Each of these subscreens is detailed below.

Values listed in bold text are the default values for Timesheet. Options in blue text may not appear in the Global Preferences section of your organization's Timesheet installation. These options are related to optional modules of Timesheet that your organization may not have purchased. If you are interested in the functionality that relates to these options, please contact your Journyx Sales Representative.

Once you have made the desired modifications to any of the preferences subscreens, click the Button. Timesheet will refresh the Global Preferences Modification Screen and display a green text message confirming the modifications you have entered.

Maximum number of Rules that can be in a new Policy Varies This option sets the maximum number of rules that can be included in each new policy created using the Rate Rules & Policies module in Timesheet 5.5. If your organization requires policies with greater complexity, you will need to set this option to a higher number. The default value for this option is 12.
     
Always confirm submission for Approval Yes Timesheet will always display a popup window asking Users to confirm that they wish to submit their time/mileage/expensesheets for Approval before the sheets are actually submitted and closed for entry purposes.
  No Timesheet will not warn Users before they submit a time/mileage/expensesheet for approval. Sheets will enter the approvals process for the submitting User immediately upon clicking the Submit button.

Number of Days before password is invalid Varies (number) Defines a number of days that user passwords can be used before they must be changed. The default is 360 days.
     
Minimum number of characters a password can be Varies (number) Defines the minimum number of characters that each password must be. The default is 1 character.
     
Number of old passwords to save and disallow Varies (number) Defines a number of passwords that are kept in the system and may not be used again by users until they have been "pushed out" by newer passwords. The default is 1 password.
     
Require mix of letters and numbers in password? Yes Indicates that passwords must be a mix of letters and numbers for additional security. With this option set to Yes, all user passwords must be composed of both Alpha and Numeric characters.
  No Indicates that passwords do not have to be composed of letters and numbers. With this option set to No, any password that meets the minimum length requirement defined above will be accepted by Timesheet
     
Lock users out after too many failed login attempts? No Users will not be locked out of Timesheet regardless of the number of failed login attempts by that user.
  Yes After a certain number of failed login attempts (see below), the user will be locked out of Timesheet and will not be able to log in again until a manager, project manager or admin has reset the password for that user.
     
Number of failed login attempts before user is locked out Varies (number) This option determines the number of failed login attempts allowed before a user is locked out of Timesheet. A user who has been locked out must have his password reset by another user with password reset authority. The default values for this option is 3.

URL of the image at the top of each screen Varies (URL) Specifies a URL that points to a .gif or .jpg image that will appear at the top of every screen in Timesheet. There is No defined default for this option. To return to the Journyx logo information that occupies this feature at the time of installation, simply delete the URL in this option and click the Modify Preference Values button. Please Note: This must be a complete URL, including the scheme name (http://). Additionally, this value must not be a UNC path as used by some Windows environments.

  Yes Enables word wrap when viewing Journals in Timesheet. This feature is useful if you have large or lengthy Journal entries. With this option set to "Yes" Timesheet will display the Journal view in a set size relative to the size of the browser window you are using to view Journals. Journal entries are word wrapped appropriately.
     
Journals associated with entry records can be modified Always Journal Entries that are associated with entry records (also known as diary notes) remain editable regardless of whether the associated records are open or submitted, rejected or approved. This option keeps Journal Entry Records flexible.
  Never Journal Entries that are associated with entry records (also known as diary notes) are never editable. This option produces a rigid but highly-accountable journal notes system.
  Dependent on the state of the record Journal Entries that are associated with entry records (also known as diary notes) are editable when the associated records are open for editing and non-editable once those records have been submitted and approved within Timesheet.
     
Display project hierarchy on all administrative screens? Yes Causes Timesheet to display the Project Hierarchy within Project dropdown selection menus on every administrative screen.

Currency Symbol for Rate Reports Varies (Symbol) This option allows you to specify which currency symbol (Such as: £, ¥, $) is used in the Rate Reports generated by the Rate Rules & Policies module. To change this option, you will need to use either the HTML entities (Pound = £ Yen = ¥) for the character in question or use the Windows character map to copy and paste the desired symbol into this field. The default value for this option is $
     

Screen Colors Options

Darkest Color (Button Bar) Varies (HTML hex color string) Specifies the darkest color used by Timesheet for screen generation. The default value for this option is: #333366. Dark Color (Table Titles) Varies (HTML hex color string) Specifies the second darkest color used by Timesheet for screen generation. The default value for this option is: #666699. To return to this value from another value, simply delete the contents of the value box and click the Modify Preference Values button. For further information on Hex Colors, please see the link at the bottom of the Global Preferences screen.
Middle Color (Some Table Backgrounds) Varies (HTML hex color string) Specifies the middle color used by Timesheet for screen generation. The default value for this option is: #9999CC. To return to this value from another value, simply delete the contents of the value box and click the Modify Preference Values button. For further information on Hex Colors, please see the link at the bottom of the Global Preferences screen.
Light Color (All Table Backgrounds) Varies (HTML hex color string) Specifies the second lightest color used by Timesheet for screen generation. The default value for this option is: #CCCCFF. To return to this value from another value, simply delete the contents of the value box and click the Modify Preference Values button. For further information on Hex Colors, please see the link at the bottom of the Global Preferences screen.
Lightest Color (Page Background) Varies (HTML hex color string) Specifies the lightest color used by Timesheet for screen generation. The default value for this option is: #FFFFFF. Highlight Color Varies (HTML hex color string) Specifies the highlight color used by Timesheet for screen generation. The default value for this option is: #FFFFCC. Fully Qualified Domain Name Of This Server Varies (URL) This option attempts to determine the actual domain name of the Timesheet server by itself. This information in needed by the MSP Sync utility and other SOAP interface functionality. If Timesheet is unable to determine this value, the Journyx Professional Services Team may ask you to adjust this value; otherwise do not modify this value.
     
SMTP mail server name Varies (text) Specifies the SMTP server that Timesheet will use for automated email notifications. Please Note: This option must have a value specified for automated email notifications to work properly in Timesheet
     
From address of mail sent by jtime Varies (text) Specifies the address that will be shown in the "from" field on all automated email notifications.
     
Do not process emails for timesheets before date Varies (date in YYYYMMDD format) Indicates the historical cutoff date for Timesheet related emails. Timesheet will not send emails regarding any time sheet that covers a period before this date. The default value for this field is August 18, 1972 (19720818).
     
Activate approval emails? No Deactivates the email mechanism for automated emails related to the Approvals process in Timesheet. Please see the Approvals section of this manual for more information on the Approvals email notifications.

Approval Settings

Project approvals synchronize levels No Project Approvals proceed on their individual tracks without regard to the status of other approval tracks.
  Yes Establishes a synchronized approvals process. When the approvals process is synchronized, all approvers on a specific level must approve the entries associated with a timesheet, mileagesheet or expensesheet before it move on to the second level. Synchronizing approvals levels increases approvals accuracy but reduces approvals speed, due to the interdependency of the approvals tracks.
     
When rejected should approvals restart on 1st level? No Approvals return to the originally rejecting approver when resubmitted after being rejected.
  Yes Rejection at any level causes the entries in question to be returned to the first level of approval. Like the Project Approvals synchronize levels preference above, this option provides improved approvals accuracy at a cost to approvals speed.

Allow non-Admins to modify project group assignments? No Prevents any user other than one with the Administrator role from modifying the associations between Projects and Groups in Timesheet.

Time format specifier Time String This option allows you to specify the format that Timesheet will use for storing the times associated with each Disconnected Client form. You may modify this format as required by your organization. The default value for this field is: %m/%d/%Y %H:%M:%S. These characters translate as follows:
  • %m = month
  • %d = day
  • %Y = year
  • %H = hours
  • %M = minutes
  • %S = seconds
The percentage and colon characters are simply used to delimit the time and date strings. Therefore, to change the general time format specifier to HH:MM Year/Month/Day, you would change this option to the following: %H:%M %Y/%m/%d

Max number of time periods in advance that user can select Varies (number) This option allows you to control how far in advance users can request Disconnected Client forms. This option is based on the time period assigned to the user in question. Therefore, if your organization uses several radically different time periods, you may need to consider this option carefully to ensure that users who have longer time periods do not have access to forms that are multiple months out. You may modify this time period as required by your organization. The default number of days for this option is: 8
     
Number of entry slots on DC Timesheet Varies (number) This option allows you to specify the number of blank rows that will be available for time entry on each Disconnected Client Time Entry form.
