Timesheet provides a Journal function to allow your organization's users a way to document items, share knowledge, or otherwise communicate regarding specific Projects. The Journals functionality in Timesheet is accessed via the Button, located in the Button Bar found at the top of each screen. This button causes Timesheet to display the Journals Screen.

This screen is divided into three main parts:

These sections, as well as the process of viewing and adding to a Journal, are described below.

Find Journals

This section of the Journals Screen is used to determine which Journals should be shown in the Find Journals Results section, which is covered below.

You may use this portion of the Journals screen to specify date ranges, associated Projects and accessing Users to use as criteria when searching for Journals. Once you have selected your desired criteria, click the Button. Timesheet will refresh the Journals Screen, displaying the Journals that met your search criteria in the Find Journals Results portion of this screen. Hint: To see the complete list of available Journals in your organization's Timesheet installation, click the Button without entering any search criteria.

Find Journals Results

This section of the Journals Screen contains the Journals that met the search criteria you specified in the Find Journals portion of this screen as described above.

The list of Journals contained in this section provides the following information on each Journal:

To view Journal entries or create new entries in a Journal, click the Journal Edit icon () to the left of the name of the Journal you would like to edit/view. Timesheet will open the Journal Access Popup Window for the Journal in question. Working with the contents of Journals is detailed below, in the Journal Content portion of this documentation.

Additionally, Timesheet Administrators may delete an entire Journal using this section of the Journals Screen. To delete a Journal click the Delete Journal icon () to the left of the name of the Journal you wish to delete. Timesheet will display a popup warning window asking you to confirm that you do, indeed, wish to delete the selected Journal. If you would like to continue with the deletion process, click the Button that appears in this popup window. Timesheet will then refresh the Journals Screen and display a green text message confirming the deletion of the Journal in question.

Please Note: Journal deletion is final. You cannot recover a deleted Journal. Therefore, please delete Journals only when you are certain that their contents are no longer needed.

Create A New Journal

This section of the Journals Screen allows you to create a new Journal for any Project that you have access to based on your Group affiliation.

To create a new Journal, simply select the Project you would like the Journal to be associated with and enter a name for the new Journal. Once you have made these selections, click the Button. Timesheet will then refresh the Journals Screen including a green text message confirming the creation of the new Journal.

Viewing Journal Contents And Adding New Information To A Journal

The contents of Journals in Timesheet may be viewed, and new entries may be added in the Journal Access Popup Window, which is accessed by clicking the Journal Edit icon () to the left of the name of the Journal you would like to edit/view.

Creating Journal Entries

The contents of the active Journal is displayed in this screen, along with the date, time and User who entered each entry. You may add new data to a Journal by entering that information into the text box on this screen and clicking the Button. Timesheet will refresh this screen and display a green text message confirming the addition of your new entry to the active Journal.

Journal entries may consist of regular text as well as HTML tags to format that text. By Default HTML tags will be rendered onscreen and affect the display of their associated text unless the viewing User opts to view Journal entries as plain text, in which case the tags themselves will be displayed as plain text along with their associated text.

Modifying And Deleting Journal Entries

You may, depending on your access level, also be able to modify or delete existing Journal entries by clicking the Entry Edit icon () or the Delete Entry icon () just above the text of the entry in question.

Modifying a Journal Entry opens it for editing, which is performed in the same fashion as creating a new Journal Entry as described above.

Please Note: Journal Entry deletion is final. You cannot recover a deleted Journal Entry. Therefore, please delete Entries only when you are certain that their contents are no longer needed.

Journal Viewing Options And Controls

The Journal Access Popup Window also provides controls that allow the viewer to switch between HTML and plan text viewing mode as well as specify a range of dates to which the viewable entries should be limited. These tools, located in the upper left-hand corner of this screen, can be used as desired by the viewing User to modify their Journals viewing experience to meet their needs.

Standard Journals And Record Entry Journals (Diary Notes)

Timesheet uses the same system for Diary Notes and Journals. In nearly all cases this integration appears seamlessly to users and Admins alike and both features can be used side by side without any special consideration.

Standard Journals and Record Entry Journals, which are used to store Diary Notes entries, are maintained in the same fashion in the Timesheet database and are listed together as equals in the Find Journals Results portion of the Journals Screen. Standard Journals can be distinguished from Record Entry Journals easily and immediately by the fact that Standard Journals are listed in the Find Journals Results portion of the Journals Screen by their actual name while all Record Entry Journals are identified by the simple phrase Record Entry Journal rather than a specific name.
