Timesheet provides a quick and easy method to lock users out of the Timesheet for short periods of time. This tool lets you choose a specific set of users who will be able to access Timesheet while the lockout in enabled. Other users will receive a message informing them that the system is temporarily unavailable. This functionality has been designed to allow the Timesheet Administrator to "close down" the system for maintenance, such as Approvals Process adjustments, so that Users cannot interact with the system and thereby cause unforseen complications.
To access the controls for the Web Interface Lockout Management, click the Web Interface Lockout Management link located under the System Settings portion of the Main Admin Screen. Timesheet will display the Web Interface Lockout Management Screen.
Enabling The Web Interface Lockout
When the Web Interface Lockout is disabled, which it is by default, the Web Interface Lockout Management Screen shows a complete list of all active, unhidden users within the Timesheet database, displayed alphabetically by User Login.
To enable the Web Interface Lockout, select the Users who you would like to be able to log in to Timesheet from the list located to the right of the Button. You may scroll through the list and CTRL-click individual names to select more than one user. Once you have made your selections, click the Button. Timesheet will refresh the Web Interface Lockout Management Screen and display a green text message confirming that the Web Interface Lockout has been enabled.
When the Web Interface Lockout is enabled, only the selected users, whose login IDs remain highlighted in the list of users, will be able to log in to Timesheet. All other users will receive a message informing them that "the system is temporarily unavailable" when they attempt to log in.
Please Note: You must select at least one User who has Administrator privileges in Timesheet to enable the Web Interface Lockout. If you do not select one such User, enabling the Web Interface Lockout will fail.
Disabling The Web Interface Lockout
To disable the Web Interface Lockout simply click the Button on the Web Interface Lockout Management Screen.
Timesheet will refresh this screen and display a green text message confirming that the Web Interface Lockout has been disabled. All user IDs will be unselected and you will be able to choose a new set of users to allow access to Timesheet for the next time you wish to enable the Web Interface Lockout functionality.
Web Interface Lockout Considerations
The Web Interface Lockout in Timesheet has been designed to operate on the short term, and it is not intended as a way to permanently lock certain users out of the system. If you have one or more Users who need to be prevented from logging in to Timesheet, perhaps because they no longer work for your organization, please hide those Users via the User Modification process.
