Timesheet includes two punch-style Time Entry Screens for non-hourly workers known collectively as the Professional Time Entry Screens. These two screens, Professional In/Out Manual and Professional Punch Clock allow users to enter both the actual start and stop times of their day (their "punches") as well as allocate those hours to the various projects and tasks that comprise each work day. The process of using these screens, as well as how these screens fit in with approval processes, is described below.
The Professional In/Out Manual Time Entry Screen provides Users with the ability to enter in & out times manually, rather than through a punch clock interface, as well as allowing them to allocate the hours represented by those in/out times to the various projects and tasks that comprise each work day. Further, the Professional In/Out Manual Time Entry Screen makes it possible for Users to ensure that their "punch" hours match their "allocated" hours before submitting their timesheet for approval.
Users who are assigned the Professional In/Out Manual Time Entry Screen for time entry should enter one or more pairs of in and out times for each day worked. The total hours represented by those in/out times is displayed in the Allocation Balance row for each day. Users should then distribute the Allocation Balance across multiple individual time records that are created via the standard time entry interface located in the second half of the Professional In/Out Manual Time Entry Screen. As individual time records are created, the Allocation Balance will decrease until it reaches zero, at which time the alert icon () will disappear and that day's hours are balanced. This process should be repeated for each day worked within the time period in question.
Timesheets that are not Allocation-balanced, that is, sheets on which the alert icon () is displayed for one or more days within the time period in question, cannot be submitted for approval until all hours are properly allocated and the Allocation Balance for each day is at zero. Users will receive an error indicating the day(s) that are not balanced if they attempt to submit a non-balanced timesheet for approval.
Timesheet administrators may set certain pay types as allocation exempt - these pay types will not count towards allocation hours and do not have to be balanced with in/out times. Vacation, PTO, jury duty and similar hours are generally treated in this manner.
Information on how to set the allocation exempt status of pay types is available in the Extra Pay Type Fields portion of the online help.
The Professional Punch Clock Time Entry Screen provides Users with the ability to enter in & out times via a punch clock interface, as well as allowing them to allocate the hours represented by those in/out times to the various projects and tasks that comprise each work day. Further, the Professional Punch Clock Time Entry Screen makes it possible for Users to ensure that their "punch" hours match their "allocated" hours before submitting their timesheet for approval.
Users who are assigned the Professional Punch Clock Time Entry Screen for time entry should create one or more pairs of in and out times for each day worked via the punch clock interface located next to the Button at the bottom of this screen. The total hours represented by those in/out times is displayed in the Allocation Balance row for each day. Users should then distribute the Allocation Balance across multiple individual time records that are created via the standard time entry interface located in the second half of the Professional Punch Clock Time Entry Screen. As individual time records are created, the Allocation Balance will decrease until it reaches zero, at which time the alert icon () will disappear and that day's hours are balanced. This process should be repeated for each day worked within the time period in question.
Punches that span two days, such as a 10 pm Monday to 6 am Tuesday shift, will be interpreted by Timesheet as a set of in/out punches for each day. This process would result in a 10 pm to 12 am in/out set for Monday, and a 12 am to 6 am in/out set for Tuesday, given the shift mentioned above.
Timesheet administrators may set certain Pay Types as allocation exempt - these pay types will not count towards allocation hours and do not have to be balanced with in/out times. Vacation, PTO, jury duty and similar hours are generally treated in this manner.
Users who are assigned either of the Professional Time Entry Screens must allocate their allocation balance hours to individual time records completely so that they have no outstanding allocation balance hours within a time period before they can successfully submit the timesheet in question for approval via the Project Approvals or Period Approvals processes in Timesheet.
User's time records that are created via the Professional Time Entry Screens are reportable, just like time records created via any other time entry screen in Timesheet. These hours will appear in reports alongside other hours without any special effort on the reporting User's part. However, the actual In/Out Times associated with those hours will only be shown for timesheets that have been approved via a Timesheet approval process.
Timesheet reports, by default, do not show In/Out Times, as well as other similar details, until the report has been configured to Show Details. To view In/Out Times on a report, select that report from the report list and click the Button. Timesheet will display the Report Modification Screen for the specified report.
This screen will allow you to toggle the display of time record details as well as indicate which specific details should be shown.
To view the In/Out Times of time records created via one of the Professional Time Entry Screens, enable the display of details by setting the Show Details? option to Yes and then set the In/Out Times option to Show. Once you have set these options, click either the Button or the Button.
The report will show In/Out Times for records that have been approved via a Timesheet Approvals Process the next time it is run.
