Journyx Timesheet provides administrators and other selected users with the ability to create Time, Mileage and Expense records for other users within the Timesheet database. The Time/Mileage/Expense Keeping functions are accessed via the Timekeeping link from the main admin screen.

Time/Mileage/Expense Keeping: Search Screen

This screen provides the tools to search for other users for whom records will be entered. The search parameters may be used to narrow the search to a specific project, group, or individual user.

Once these criteria have been entered, the click the Button. Timesheet will then perform the search and display the results in the Timekeeping User Search Results Screen.

Time/Mileage/Expense Keeping: Search Results & User Selection

This screen lists all users who met the search criteria indicated in the Time Keeping Search Screen. These users are displayed alphabetically in groups of 10 on this page. The navigation buttons at the top of the screen allow the admin or timekeeper to jump quickly between the different pages of users.

For example, by pressing the Button, an you can "scroll forward" to the next group of 10 users in the list. You may also choose to press one of the letters in the navigation portion, which will take you to the "top" of the list of users for that letter.

To enter time, mileage or expenses for a specific user, simply click the Time, Expense or Miles link in the Sheets column for the desired user. Timesheet will then display the appropriate entry screen in a new popup window.

Timekeeping: Time Entry

To enter time for a user, click on the Time link associated with that user's name. Timesheet will open a new popup time entry window that will allow you to enter time for the user in question as though you were that particular user, i.e., time entry will be limited to items that the user in question has access to based upon his group membership, etc. Once the desired time has been entered, click the Button and close the Timekeeping popup window.

Timesheet provides Timekeepers with the ability to view the entry interface both in a traditional Timekeeper's View as well as in the precise manner that the selected User would see his/her time entry - the User's View. Timekeepers can switch between these two views by way of the Button and the Button that appear at the bottom of the timekeeping window.

Mileage Keeping: Mileage Entry

To enter mileage for a user, click on the Miles link associated with that user's name. Timesheet will open a new popup mileage entry window that will allow you to enter mileage for the user in question as though you were that particular user, i.e., mileage entry will be limited to items that the user in question has access to based upon his group membership, etc. Once the desired mileage has been entered, click the Button and close the Mileage Keeping popup window.

Expense Keeping: Expense Entry

To enter time for a user, click on the Expense link associated with that user's name. Timesheet will open a new popup expense entry window that will allow you to enter expenses for the user in question as though you were that particular user, i.e., expense entry will be limited to items that the user in question has access to based upon his group membership, etc. Once the desired expenses have been entered, click the Button and close the Expense Keeping popup window.

Timekeepers can switch between these two views by way of the Button and the Button that appear at the bottom of the expense keeping window.

Re-opening Records That Have Already Been Approved

If the record you wish to modify is in any state during the approval process (submitted for approval or completely approved), you can make corrections to the record by using the sheet "Open" feature. You can access this feature as an approver if you are designated as the approver for the record in question. You can also access this feature as an Administrator either through the Approvals area or via Timekeeping. The Open button appears below the submitted/approved sheet. When a sheet is re-opened, the approval process gets completely reset. Once a sheet is re-opened, anyone who has the ability to enter time for the employee (the employee, timekeepers) will be able to modify the records just as if the sheet had never been submitted for approval. This includes the ability to modify the records in Record Modification. The sheet re-open process does not maintain the original records that were submitted or approved via an approval process, and the modifications must be submitted for approval again. This option is only recommended when the correction requires that the original record be completely removed from the database (i.e., the employee's comments reveal confidential information or the employee entered and submitted time for the wrong period).
